Choosing Raw Materials for Paints & Coatings

Selecting the right raw materials for paints and coatings goes beyond price. Here is how procurement teams can evaluate technical specifications, documentation, and supplier consistency before committing to a supply relationship.

Selecting raw materials for paints and coatings is a decision that affects every stage of the manufacturing process — from batch consistency on the production line to the performance of the finished product in the field. For procurement teams, the challenge is not simply finding a supplier who can deliver a product at the right price. It is finding one who can deliver the right product, consistently, with the documentation to prove it.

Start with the Technical Data Sheet

The Technical Data Sheet (TDS) is the first document to request from any potential supplier. It should specify the key physical and chemical properties of the material — purity levels, particle size distribution, viscosity, pH range, moisture content, and any relevant performance characteristics. For pigments such as titanium dioxide, this includes opacity, whiteness index, and oil absorption. For resins and binders, it covers molecular weight, glass transition temperature, and compatibility with common solvent systems.

Read the TDS carefully and compare it against your formulation requirements. A supplier who cannot provide a detailed, up-to-date TDS is a supplier who cannot support your quality process.

Review the Safety Data Sheet

The Safety Data Sheet (SDS) is a regulatory requirement in most markets, but it is also a practical tool. It tells you how the material must be stored, handled, and transported — information that affects your logistics planning, warehouse setup, and compliance obligations. If you are importing into markets with specific chemical regulations, the SDS will help you confirm whether the material is permitted and under what conditions.

Request Certificates of Analysis

A Certificate of Analysis (CoA) documents the actual test results for a specific production batch. Unlike the TDS, which describes the product specification, the CoA confirms that a particular batch meets that specification. Request CoAs for any sample you evaluate, and establish a routine of receiving CoAs with every shipment. This creates a traceable record and gives you a basis for raising quality claims if a batch falls outside specification.

Evaluate Batch-to-Batch Consistency

In paints and coatings manufacturing, consistency matters as much as quality. A raw material that performs well in one batch but varies in the next creates formulation instability, colour deviation, and rework costs. When evaluating a new supplier, request samples from multiple production batches and test them against your formulation. Ask the supplier about their quality management process and how they control variation between batches.

Consider Application Requirements

Different applications place different demands on raw materials. An exterior architectural coating requires UV stability and weather resistance. An industrial protective coating may need chemical resistance and adhesion to metal substrates. A decorative interior paint prioritises colour accuracy and low VOC content. Make sure the raw materials you specify are appropriate for the end application, and confirm this with your supplier before placing a first order.

Samples Before Commitment

Always request samples before committing to a supply relationship. Test the material in your own production environment, under your standard conditions, using your existing formulation. Laboratory results from a supplier's facility are useful, but they do not replace in-house validation. A reputable supplier will support this process and provide technical assistance during evaluation.
